What does Brokai Labs build?

Brokai Labs builds custom AI systems that automate the operational work running in the background of your business - scheduling, field reporting, lead response, client communication. We don't build chatbots or install off-the-shelf tools. We engineer the infrastructure layer that sits inside your existing operation and removes the manual work from it. Every system we build is designed to run continuously, integrate with the tools your team already uses, and require minimal oversight once deployed.

How is Brokai Labs different from a typical AI agency or freelance developer?

Most AI agencies pitch capabilities and then build something custom from scratch for every client. Most freelancers build once and hand off. Brokai Labs operates differently on both counts. We build productised AI systems - which means we've already engineered the core architecture for specific operational problems, tested it with live clients, and can deploy a working version to a new business in weeks rather than months. You're not paying for discovery of what might work. You're deploying what already does. At the same time, every system is configured for your specific workflows, your data, and your team - so it's not a generic tool you're adapting to fit. Who runs Brokai Labs?

Brokai Labs was founded by Nand Dave, who holds an MS in Engineering Management and Data Science from Northeastern University and has prior experience building production AI infrastructure at scale - including audio processing pipelines handling thousands of hours of content weekly and multi-agent systems published at NeurIPS and ICDM workshops. Before Brokai Labs, he founded and profitably exited a manufacturing business. The team includes two engineers focused on backend systems and frontend delivery. We operate as a small, precise team by design - we take on a limited number of builds at a time so every system we deploy gets full engineering attention.

How does a project start?

Every engagement begins with a 30-minute audit call. We don't send proposals without first understanding your operation. On that call, we map the specific process that's costing you the most - whether that's missed appointments, delayed field updates, slow lead response, or manual reporting. From there, we identify whether an existing Brokai Labs system fits your problem, or whether a custom build is the right path. If we're aligned on the problem and the approach, we'll have a scoped proposal to you within 48 hours. Most projects begin within a week of the first call.

How long does it take to go from first call to a live system?

For our productised systems - Appointment Intelligence, Solar EPC Operations, and Lead Qualification - deployment typically takes two to four weeks from signed agreement to live system. That includes configuration to your specific workflows, integration with your existing tools, testing with real data, and a structured handover. For custom builds outside our standard systems, timelines depend on scope and complexity. We'll give you a specific timeline as part of the proposal - we don't give generic estimates before understanding the problem.

What does it cost to build an AI system with Brokai Labs?

We don't publish fixed pricing on the site because the right answer depends on your operation, not on a tier. What we can tell you is that every engagement has two components: a one-time setup fee that covers the build, configuration, and deployment, and a monthly subscription that covers hosting, monitoring, maintenance, and ongoing support. Both are scoped after the audit call, not before. If budget is a concern, book the call anyway - we'll tell you honestly whether the investment makes sense for your business size and the problem you're trying to solve.

Do you work on a project basis or a retainer?

Both. Most engagements start with a defined project - we build, deploy, and hand over the system. Many clients then move to a monthly subscription for ongoing support, system updates, and expansion of the system as the business grows. We don't require a long-term commitment upfront. The goal is to show you a working system fast enough that continuing the relationship is an obvious decision.

What do you need from us to get started?

Primarily, access and clarity. We need access to the tools and data your system will integrate with - calendar systems, CRM, WhatsApp Business account, or whatever is relevant to your operation. And we need someone on your side who understands the current manual process well enough to walk us through it. We handle the engineering. You handle the operational context. The more specifically you can describe the problem - the volume, the current workflow, the failure points - the faster we can build something that actually fixes it.

What happens after the system is deployed?

We don't build and disappear. Every live system comes with a monitoring and support arrangement. In the first month, we run weekly check-ins to catch any edge cases or configuration issues. After that, we move to monthly reviews where we assess system performance, identify expansion opportunities, and make any updates required by changes in your operation. If something breaks, we fix it. If your business changes and the system needs to adapt, we adapt it. The system is infrastructure - we treat it like infrastructure.

Can you build something custom that isn't one of your three existing systems?

It integrates with your existing calendar and communicates with clients through voice or WhatsApp, depending on your market. The system operates 24/7, which means calls after hours, on weekends, and during busy periods are handled the same way as calls during business hours. It's currently live at a service business in the United States, where it has recovered more than three hours of staff time weekly by eliminating manual booking and reminder calls.

What is the Solar EPC Operations system?

The Solar EPC Operations system is a field-to-office project management layer built specifically for solar installation companies and EPC contractors. It connects your field engineers to your project dashboard through a dedicated mobile app - milestone updates, site photos, and status reports flow from the field to the office in real time without WhatsApp chains, manual spreadsheet entry, or daily status calls. Clients and stakeholders get automated progress reports at set intervals. Exception alerts trigger automatically when milestones are delayed. What is the Lead Qualification system?

The Lead Qualification system places AI agents directly inside your inbound communication channels - WhatsApp, Instagram, web forms - to respond to every incoming lead within seconds, qualify them based on your criteria, and route them to the right person or next step automatically. No lead waits for a human to wake up, finish a meeting, or check their phone. The system is currently in early-access pilot phase. Do I need technical knowledge or existing software to use these systems?

Yes. WhatsApp is the primary communication channel for most Indian businesses and their customers, and our systems are built with that reality as the starting point - not as an afterthought. Our Appointment Intelligence system uses WhatsApp for client reminders and follow-ups. Our Solar EPC system uses WhatsApp as the field engineer's primary update channel before migrating to the dedicated app. Our Lead Qualification system places agents directly inside WhatsApp Business to handle inbound leads. If your business runs on WhatsApp, our systems work with that - not against it.

Can you work with businesses that have no existing software or CRM?

Do you serve businesses outside major metros - Tier 2 and Tier 3 cities?

Yes. Our Solar EPC pilot is running in Rajasthan - not a metro deployment. The systems we build are remote-first by design: they operate over WhatsApp, web, and mobile, which means physical location is irrelevant to how well they function. A business in any city across India has the same access to these systems as one in Bangalore or Mumbai.

Are you GST-registered? Can you invoice Indian businesses properly?

Brokai Labs is in the process of registering as a Private Limited company in India. Until registration is complete, we can discuss billing structure and documentation requirements on a case-by-case basis. If GST-compliant invoicing is a requirement for your business, raise it early in our conversation so we can address it before the project begins.

What technology stack does Brokai Labs use?

Our systems are built on a production-grade, modern stack. Backend and API layer: Python with FastAPI. Frontend and dashboards: Next.js 14. Database and real-time sync: Firebase Firestore. Voice AI: Retell AI for voice receptionist systems. Messaging: Twilio for SMS, WhatsApp Business API for Indian market deployments. AI and LLM layer: OpenAI GPT-4o-mini for analysis and fallback logic, Claude API for complex reasoning tasks. Automation orchestration: n8n for workflow automation. Infrastructure: Google Cloud and Vercel. We choose tools based on what's right for the problem, not vendor preference.

Will the system integrate with tools we already use?

In most cases, yes. Our systems are built with integration as a first-class requirement, not an afterthought. We integrate with Google Calendar, standard CRM platforms, WhatsApp Business API, email systems, and custom dashboards. If you use a tool that isn't on that list, we'll assess feasibility during scoping. We use API-first integration patterns, which means if the tool has an API, we can likely connect to it.

Who owns the system and the code after it's built?

You own the system and the data it processes. The underlying codebase for productised systems is Brokai Labs' intellectual property - we configure and deploy it for your operation. For fully custom builds, ownership of the code is discussed and agreed as part of the project scope before work begins. In all cases, you have full access to your data and the ability to export it at any time.

How do you handle data security and privacy?

All data processed by our systems is handled in compliance with standard security practices: encrypted in transit, access-controlled, and never used for any purpose other than operating your system. We sign NDAs before any project discussion involving sensitive business information. For regulated industries - healthcare, finance - we scope the compliance requirements as part of the build. If data residency in India is a requirement, we can configure deployments accordingly.

What happens if the AI makes a mistake or the system goes down?

No system is infallible, and we don't claim otherwise. Every system we deploy includes a human escalation path - when the AI encounters something outside its defined scope, it routes to a human rather than guessing. On the infrastructure side, we monitor live systems continuously. If something breaks, we're alerted before you are in most cases. Our support arrangement includes defined response time commitments based on severity. We treat downtime as our problem to fix, not yours to manage.
